DiamondSMRTPrivacy Policy
App: DiamondSMRT | Developer: TapTap LLC | Contact: admin@taptap-llc.com
DiamondSMRT ("DiamondSMRT," the "App," "we," "our," or "us") is a baseball and softball app for coaches, families and leagues, available on Android phones and on the web. It is made by TapTap LLC. This policy explains what information DiamondSMRT collects, how it is used and disclosed, how long it is kept, and the choices you have.
It applies to the DiamondSMRT app, the DiamondSMRT web app, our backend services, and related features that link to this policy. It does not apply to third-party websites or services, such as YouTube, which have their own privacy policies.
1. Information we collect
1.1 Account information
- Name and email address.
- A password hash and sign-in tokens; we never store your password in plain text.
- Your DiamondSMRT user ID, account status, and the settings you choose (for example notification and home screen choices).
1.2 Team, league and schedule information
- The teams, clubs, leagues and divisions you belong to or follow, and your role on each (for example Coach, Scorekeeper, Family or Fan, league admin).
- Schedules, games, practices, fields, availability answers (coming / not coming), uniforms, rules, drafts and tournaments.
- Team chat messages, team and league news, and reports you send about a message or post.
- Team and league logos that admins upload.
1.3 Youth player information
Players are often children. Their information is entered by their team's coaches, their league, or their parents, not by the children themselves. It can include name, jersey number, positions, birth date (for age groups and eligibility), school and draft information where a league uses it, and parent or guardian names, email addresses and phone numbers. See section 6.
1.4 Game data
Lineups, every scored play, pitch counts, and the stats, box scores and standings calculated from them.
1.5 Video, camera and microphone
- Live streaming: when a team streams a game, the phone's camera and microphone are used only while streaming, and the video and sound go from the phone directly to the team's own YouTube channel. We do not store the video. We keep the team's YouTube channel name and ID, YouTube video and broadcast IDs, stream timestamps (so plays can be matched to clips), and, if a team sets up a separate camera, a one-way hash of its stream key.
- Lineup photos and QR codes: if you photograph an opponent's lineup or scan a join code, the image is read on your phone and is not uploaded to us. Only the names or code it finds are used.
1.6 Subscription and purchase information
DiamondSMRT Premium is sold through Google Play. To provide and verify Premium we receive the product and plan, purchase token, trial and renewal status, expiration date, and Google Play notifications about renewals, cancellations and refunds. For Family plans we keep who owns the plan, who has joined it, and pending invites. Google processes your payment; we never receive your card or bank details.
1.7 Device, notification and technical information
- A push notification token (Firebase Cloud Messaging) for each phone you sign in on, and your notification choices.
- A private calendar-feed link, if you turn on calendar sync. We provide the feed; we never read your calendar.
- IP address, request times, app version and device type in server and security logs.
1.8 Crash reports and diagnostics
The Android app sends crash reports through Firebase Crashlytics (stack traces, device model, operating system version, app version and time). Our servers record errors and performance information through Microsoft Azure monitoring and Sentry. These are used to find and fix problems, not for advertising.
1.9 What we don't collect
DiamondSMRT does not collect your location, contacts, calendar contents, health or fitness data, browsing history, or advertising ID, and does not use analytics or advertising SDKs. We do not show ads.
2. Where information comes from
- From you, when you create an account, join or run a team or league, score a game, post, or buy Premium.
- From other users: coaches, league admins and parents add rosters, guardians and schedules; teammates post messages and news.
- Automatically from your device and use of the App (push tokens, logs, crash reports).
- From Google: YouTube (the channel you connect and its broadcasts) and Google Play (subscription status).
3. How we use information
| Information | Used to |
|---|---|
| Account | Create and secure your account, sign you in, and contact you about your account and teams. |
| Team, league and player | Run rosters, schedules, availability, lineups, drafts, standings, chat and news for the people on that team or league. |
| Game data | Live scoring, box scores, stats, pitch counts and rest reminders, scoreboards and stream overlays. |
| Video identifiers | Start your team's broadcasts, show the stream to the team, and match plays to clips. |
| Subscription | Verify purchases, provide Premium to you and your Family plan, restore access, and prevent fraud. |
| Device and notification | Send the notifications you choose (game updates, news, chat, reminders) and the calendar feed. |
| Logs and diagnostics | Keep the service secure and working, investigate crashes and errors, and provide support. |
We also use information to enforce our Terms, handle reports of inappropriate content, comply with law, and protect our users and the service. We send email you ask for or that your team needs (invites, confirmations, lineup cards); we don't send marketing email.
4. How we disclose information
We do not sell personal information and do not share it for advertising.
4.1 Other users
Team information is shown to that team's members according to their role (coaches, scorekeepers, family and fans, followers). League information is shown to the league's admins and member teams; final scores and standings are visible to a league's teams. Reports about a message or post go to the people who can remove it (the team's coaches or the league's admins) without saying who sent the report. Streams are "unlisted" on YouTube: anyone with the link can watch.
4.2 Service providers
| Provider | Purpose |
|---|---|
| Microsoft Azure | Hosting, database, file storage and service monitoring (United States). |
| Google Firebase | Push notifications (Cloud Messaging) and Android crash reports (Crashlytics). |
| Google Play | Subscription purchases, renewals and cancellations. |
| YouTube API Services | Live streaming to your team's own channel (section 5). |
| Resend | Sending email. |
| Sentry | Server error reports. |
Providers process information only to perform services for DiamondSMRT, under their own agreements and privacy terms.
4.3 Legal, safety and business reasons
We may disclose information when reasonably necessary to comply with law or valid legal process; to protect the safety, rights and security of our users, children, TapTap LLC or others; or to investigate fraud or abuse. If TapTap LLC is involved in a merger, acquisition, reorganization or sale of assets, information may be transferred as part of that transaction, subject to this policy.
5. YouTube
DiamondSMRT uses YouTube API Services. By connecting a YouTube channel you agree to the YouTube Terms of Service, and Google's use of data is covered by the Google Privacy Policy.
- What we access: the permission to create and manage live broadcasts on the channel you connect, the channel's name and ID, and the status of its broadcasts.
- What we store: the channel name and ID and the video and broadcast IDs described in section 1.5. Your YouTube sign-in is kept on your phone by Google; we don't store YouTube access tokens on our servers.
- Who sees it: the team's members, so they can watch. We don't share YouTube data with anyone else.
- Removing access: a coach can disconnect the channel in Team Settings, and you can remove DiamondSMRT's access at any time at Google security settings. When a channel is disconnected or a team is deleted, we delete the stored channel details.
6. Children and youth players
DiamondSMRT accounts are for adults: coaches, scorekeepers, parents and guardians, family, fans and league volunteers. The App is not directed to children, and we do not knowingly let children under 13 (or under 16 where that higher age applies) create accounts. If we learn a child has created an account, we will delete it.
Information about youth players is added by their coaches, league or parents. Anyone who adds a child's information, or streams a game a child plays in, confirms they are the child's parent or guardian or have that person's permission, including for video. A team's coach confirms this for the team before its first stream. A parent or guardian can ask the team's coach or league to correct or remove their child's information, or contact us at admin@taptap-llc.com and we will help.
7. Permissions
- Camera and microphone: only for streaming a game, photographing a lineup, or scanning a code.
- Notifications: for the alerts you choose.
You can refuse or turn off any permission in your phone's settings; only the feature that needs it stops working.
8. Keeping and deleting data
| Information | Kept |
|---|---|
| Account | While your account is active. |
| Team, league, game and player records | While the team or league uses them, or until a coach, admin or parent removes them. |
| Chat messages | Until removed by the author or a coach, or the author deletes their account. |
| Subscription records | For the subscription and as needed for verification, fraud prevention, accounting, tax and legal obligations. |
| Push tokens | Until replaced, signed out, or the account is deleted. |
| Logs, crash and error reports | For a limited time, as needed to investigate reliability, security and support issues. |
You can delete your account at any time in the app (Settings › Delete Account) or on our Delete Account page. That removes your name, email, password, team and league memberships, chat messages, devices, calendar link and Family plan. Team and league records you helped create (for example games, stats and news) stay with the team, shown as "Deleted user". We delete or de-identify this information from our active systems right away, and copies in protected backups are overwritten through normal backup rotation. Deleting your account does not cancel a Google Play subscription; cancel it in Google Play.
9. Your choices and rights
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, to withdraw consent, and to appeal a decision about your request. You can update your name and settings in the app, delete your account as described above, turn off notifications in your phone's settings, and manage your subscription in Google Play. For anything else, email admin@taptap-llc.com. We may need to verify your identity first, and we aim to respond within 30 days or the time the law requires.
U.S. state privacy rights (including California and Washington): we do not sell personal information, share it for cross-context behavioral advertising, or use it for targeted advertising, and we won't treat you differently for exercising your rights.
EEA, United Kingdom and Switzerland: TapTap LLC is the controller. We process information to provide the service you asked for (contract), to keep it secure and improve it (legitimate interests), with your consent where required, and to meet legal obligations. Our servers are in the United States, and we use the safeguards the law requires for international transfers. You may complain to your local data protection authority.
10. Security
All data is sent over encrypted connections (HTTPS/TLS). Passwords are stored as one-way hashes, access to team data is limited by role, and production access is restricted. No system can guarantee absolute security.
11. Changes to this policy
We'll update this policy when DiamondSMRT, the law, or our practices change, and change the "Last updated" date above. If a change is significant, we'll tell you in the App or by email.
